You don't have to set up your academy by hand. Send us your spreadsheet or whatever your current system exports, and we'll load your students, plans, schedule and balances. You review everything before you start, and your old system keeps running until you say so.
How the switch works
- You send us what you have. The Excel or CSV file your system exports, your Google Sheet, or whatever you use to keep track of accounts. If you don't know how to export, we'll figure it out together.
- We load your academy. Students, plans, disciplines, schedule and what each person owes. If a balance doesn't add up, we don't make it up: we flag it so you can decide.
- You review. You sign in to DojoTally and check your students, your plans and your schedule. We fix whatever needs fixing before anyone is notified: the import doesn't message your students.
- You get started. You connect payments, set up the kiosk on a tablet and invite your students to their portal. Only then do you leave the old system.
Notices start out turned off. After the import, automatic notices (fees, absences, trial classes) and the agent stay off, so nobody gets a message before you've reviewed everything. You turn them on when everything looks right: see Notices and texts and The agent.
What moves over
- Students and their contact details, with guardians and family groups if you have them.
- Plans, prices and disciplines, with family discounts.
- The class schedule.
- Balances: what each student owes and the credit of anyone who overpaid.
- Belts and stripes.
- Payment and attendance history, when your system lets you export it.
What can't move over
- MercadoPago automatic debits. Each subscription is tied to the system that created it: the student signs up for it again in DojoTally. Before that, cancel the ones in your previous system so nobody is charged twice.
- Cards saved on another platform. The student enters their card again when they pay.
- Student usernames and passwords. Each student gets new access to the portal.
- Invoices already issued. They stay wherever you issued them.
