Notices, texts and bulk messages

How to edit the text of each automatic notice, what Meta templates are, and how to send a message to a group of students.

Automatic notices (new fee, due today, balance owed, payment received, class cancelled, shop orders…) go out with a text you can change. And when you want to announce something specific (a holiday, a seminar), you send it to everyone or to a group from Messages.

Editing the text of a notice

Where: Settings → Which notices go out, and when? → Notice texts

The list of notice texts, with the status of each WhatsApp template
  1. Find the notice in the list and tap Edit.
  2. Change the text. Variables go in curly braces and fill themselves in: {nombre}, {academia}, {monto}, {mes}, {datos_transferencia}, among others (each notice shows the ones it can use).
  3. Save.

Meta templates

WhatsApp lets you message someone freely for up to 24 hours after their last message. After that, the notice needs a template approved by Meta. DojoTally creates them automatically, using these same texts, when you connect WhatsApp, and checks them every day. The WhatsApp column in the list shows the status of each one; the buttons let you create it or request a review right away.

If you change the text of a notice that already has a template, a new version is created in Meta. While it's being approved, the previous one keeps going out.

Sending a message to a group

Where: menu → Messages

The screen for sending a message: who gets it, how, quick template and message
  1. In Who gets it, choose one or more groups: everyone, those training, those who owe, those paid up, suspended students, those who haven't come in 15 days, those who haven't signed the waiver, those in a given discipline… They're combined without repeating anyone.
  2. In How, choose WhatsApp (it's the one people read most) or email (for long texts or ones that need a subject line).
  3. Write the message, or start from a Quick template or one of the Ideas to get started (holiday, class cancelled, seminar, schedule change). You can use {nombre}, {apellido} and {academia}.
  4. Check the Preview and the list of who will get it, and tap Send.

For people who haven't written in the last 24 hours, if there's no approved notice template, the message won't reach them on WhatsApp: for them there's Prepare WhatsApp links, which opens each chat with the message already written so you can send it yourself. Below, you'll find the history of each send, with how many went out.
