Kiosk and member card: every student checks in on arrival

How to set up a tablet at the entrance to take attendance, how students check in (PIN or member card with QR) and who the kiosk lets through.

The kiosk is a tablet or phone at your academy's entrance. Each student checks in on arrival with their PIN or by showing the QR code on their member card, and attendance is recorded automatically, in the right class according to the schedule.

Opening the kiosk on a tablet

  1. On the tablet, sign in to DojoTally with your account.
  2. Go to Attendance and, on the Kiosk card, tap Open the kiosk on this device.
  3. That's it: the tablet becomes a kiosk and shows the check-in screen. From then on, that device only shows the kiosk.

How students check in

  • With their PIN. In Attendance, under Kiosk PIN, you create each student's PIN and, if you check the option, it's sent to them on WhatsApp. The PIN is stored encrypted: it can't be viewed again; if they forget it, you create a new one.
  • With their member card. Each student has a member card with a QR code that the kiosk reads with the camera. Cards are printed or sent from Students. You choose the design in Academy details.

Who can check in?

By default, the kiosk shows a warning but lets everyone through. Each rule you turn on closes the door, and the screen tells the student why and what to do.

Where: Settings → Who can check in?

The kiosk rules: overdue fees, waiver, plan, schedule and what happens when check-in is blocked
  • With overdue fees: we recommend showing a red warning and letting them through. If you don't want people who owe to check in, choose after how many overdue fees (recommended: 2).
  • Without a signed waiver: let them through, or block check-in for anyone who hasn't signed it.
  • Without a plan or classes: show a warning and let them through, or block check-in for anyone without a monthly plan or classes left in a pack. If their pack ran out or expired, the kiosk tells them "please see the front desk."
  • Schedule: at any time, or only around a class (recommended: from 30 minutes before until 15 minutes after it ends).
  • When check-in is blocked: just show it on the screen, or also send a WhatsApp message to the class coach (or to the team, if the coach doesn't have a verified number).

Back to recommended puts everything back the way it was.

Attendance is shown in Attendance. If someone forgot to check in, you can add it by hand from there.
