Attendance, absences and retention

Who came each day, how to add attendance by hand, following up with students who stop coming, and your academy's retention numbers.

With the kiosk, attendance is taken automatically. In Attendance you see who came each day, and in Retention, how many students stay and how many leave, month by month.

Attendance

Where: menu → Attendance

The Attendance screen with who checked in, who hasn't yet and the month's total
  • At the top, the day (with ‹ Previous, Next › and Today): how many checked in, how many still haven't, and how many came this month.
  • Add an attendance: if someone forgot to check in, pick the student and the class and tap Add.
  • Visitors of the day: with Charge drop-in class you record someone who comes for a single class and what they paid (the price is set in Fees and late fees).
  • Kiosk and Kiosk PIN: the tablets used for check-in and each student's PIN.

Students who stop coming

When someone stops coming, the agent writes to them to see how they're doing, and you get a summary of their reply on WhatsApp. Turn it on in Settings → Which notices go out, and when? → Absence follow-up, where you choose:

  • How the message goes out: you review it first (recommended) or it's sent automatically.
  • How many days absent before reaching out, and whether to skip people who joined recently.
  • For plans with days per week, how many missed classes in how many weeks.
  • Who gets the reports, and whether the coach of the class the student attends most gets them too.
The follow-up only covers active students with a plan and a kiosk PIN: someone who doesn't check in can't "stop coming." While it's on, Attendance shows the Haven’t been coming for a while list.

For students who have already cancelled, there's We miss you, in the same section: the agent writes to them after the number of days you choose to invite them back (and, if you want, sends a second message to anyone who didn't reply). Their replies reach you on WhatsApp. It never writes to people who asked not to be contacted again.

Retention

Where: menu → Retention

The Retention screen with active students today, monthly churn, new sign-ups and the chart of active students at month end
  • Retention: active students today, monthly churn (what percentage of active students leave each month), new sign-ups in the period and classes per week per student. The chart shows active students at the end of each month.
  • New, cancelled and suspended by month: the table with who joined, left, was suspended and came back.
  • How long they stay: the average number of months for active students and for those who left.
  • Revenue: the other tab. What you've collected this year, the projection to December, revenue per active student, the collection rate (how much of what was billed was collected in the last 3 months) and the monthly revenue chart.

You can filter by period (3, 6, 12 or 24 months) and by category.
