Special orders: items someone asked for that haven't arrived yet

How to log a special order (a gi in a size you're out of), let the student know when it arrives and turn it into a sale.

A special order is something someone asked for that you don't have yet: a gi in a size that's sold out, a product you bring in on request. You log it, let them know when it arrives and turn it into a sale.

Where: menu → Shop → Special orders

The list of special orders with the customer, the product, the status and the Confirm button

Logging a special order

  1. Tap Add it.
  2. Choose the product from the catalog (or type what it is) and the quantity.
  3. Choose who it's for: a student, or the name of someone from outside.
  4. Add a note if needed (for example, the size) and save.

Students can also order from their portal, in the Shop tab, and the agent takes orders on WhatsApp. The Special orders tab shows how many are waiting.

When it arrives

  • Change the status to Arrived: the student gets a WhatsApp message saying their order is ready.
  • Tap Confirm: it sets up the sale at the counter with the product, the price and who it's for. You choose how much they pay and make the sale. The special order stays linked to that sale.
  • If it falls through, switch it to Cancelled.
